The information we collect
When you ask for a quote or get in touch
Our enquiry forms ask for your name, email address and phone number and, depending on the form, your company name, the type of work you need and a message describing the job. If you email or phone us instead, we’ll have your contact details and whatever you tell us. If you send us files — artwork, logos, photos or copy — we keep those too.
When you buy from our online shop
To process an order we collect your name, billing and delivery addresses, email address, phone number, company name (if you give one), what you’ve ordered and any notes you add. We never see or store your full card details: card payments are handled securely by Stripe, which only tells us whether a payment has gone through.
If you have an account with us
If you have a customer account, we store your login details, any saved addresses and your order history. Your password is stored in a scrambled (hashed) form, so we can’t read it.
When you browse this website
Like most websites, ours automatically records some technical information when pages are requested — your IP address, browser and device type, the pages you visit and the date and time. This is used to keep the website secure and running properly.
When you place an order, our shop also records how you found us — for example through a search engine, a link on another website or a link in one of our campaigns — along with your device type and how many pages you viewed during your visit. This helps us understand which of our marketing is working. There’s more on this under Cookies below.
Other people’s information in your print jobs
A lot of print includes other people’s details — names and numbers on business cards, photographs in a brochure, names in an order of service. We only use that information to design, proof and print the job you’ve asked for, and to reprint it if you ask us to. When you send it to us, please make sure you’re entitled to share it.
How we use your information
Data protection law says we must have a valid reason — a “lawful basis” — for everything we do with personal information. Here’s what we use it for, and why:
| What we use it for | Our lawful basis |
|---|---|
| Replying to your enquiry and preparing a quote | Taking steps you’ve asked for before entering into a contract, and our legitimate interest in responding to people who contact us |
| Designing, proofing, producing and delivering your order, and invoicing you | Performing our contract with you |
| Running your customer account | Performing our contract with you |
| Keeping accounting and tax records | Legal obligation |
| Recording how you found our website when you place an order | Our legitimate interest in understanding which of our marketing works, and your consent where the cookies involved require it |
| Sending you occasional news and offers | Your consent, or our legitimate interest in keeping customers informed — you can opt out at any time |
| Keeping our website and systems secure and preventing fraud or misuse | Our legitimate interest in protecting our business and our customers |
| Dealing with complaints, disputes and legal claims | Our legitimate interests and, where applicable, legal obligation |
We don’t sell your personal information, and we don’t use it to make automated decisions that have a legal or similarly significant effect on you.
Keeping in touch
If you’re a customer or have asked us for a quote, we may send you the occasional email about our products, services and offers. Every email includes a simple way to unsubscribe, and you can ask us to stop at any time by replying or contacting us. We never pass your details to other companies for their own marketing.
Cookies
Cookies are small files that a website stores in your browser. This website uses:
- Essential cookies that make the shop and your account work — keeping items in your basket, taking you through checkout and keeping you signed in. The site can’t work properly without them.
- Order attribution cookies (their names begin with
sbjs_), which record how you arrived at our website so we can link an order to the marketing that led to it. - Google Maps cookies, which Google may set when the map on our Contact page loads.
Our Cookies Policy lists each cookie, what it does and how long it lasts. You can also block or delete cookies in your browser settings, although parts of the shop may stop working if you block essential ones.
Who we share your information with
We only share personal information where we need to, and only with organisations that are required to keep it safe and use it only for the purpose we’ve given them. These include:
- Our website host and developer — Heuvel Limited which hosts this website on servers in the UK, and Heuvel Limited, which builds and maintains it.
- Payment providers — Stripe, to take card payments securely.
- Couriers — DPD and Royal Mail, who need your name, delivery address and contact details to deliver your order and send you delivery updates.
- Trade suppliers — for some products, such as branded promotional goods, we work with trusted trade suppliers who produce, brand or deliver items for us. They receive the job details they need and, if they deliver direct to you, your delivery details.
- Embedded services — Google, for the map on our Contact page, and jsDelivr, which serves the icons used across this website. Your browser connects to these directly, so they receive your IP address when the relevant pages load.
- Professional advisers and authorities — our accountants, insurers and legal advisers where needed, and HMRC, the police or other authorities where the law requires it.
If our business were ever sold or restructured, your information may pass to the new owner, who would have to use it in line with this policy.
Where your information is stored
We store and process your information in the UK wherever we can. Some of our providers — such as Google and Stripe — may process data in other countries, including the United States. Where that happens, your information is protected by a UK “adequacy” decision (which includes the UK–US data bridge) or by contract terms approved by the ICO.
How long we keep it
We keep personal information only for as long as we need it:
| Information | How long we keep it |
|---|---|
| Enquiries and quotes that don’t lead to an order | 2 years from our last contact with you |
| Orders, invoices and customer records | 6 years from the end of the financial year they relate to, as required for tax purposes |
| Artwork and job files | [3 years] after your last order, so we can reprint quickly — or sooner if you ask us to delete them |
| Customer accounts | Until you ask us to close your account (order records are then kept as above) |
| Marketing preferences | Until you unsubscribe — after that we keep a note of your email address so we don’t contact you again |
| Website server logs | A short period set by our hosting provider, normally no more than [90 days] |
When we no longer need information, we delete it securely or anonymise it.
Keeping your information secure
This website uses an encrypted (HTTPS) connection, access to customer information is limited to the people who need it to do their job, and we use reputable providers with recognised security standards. No website or email system can be guaranteed completely secure, so if you need to send us something particularly sensitive, give us a ring first and we’ll suggest the best way to do it.
Your rights
Under UK data protection law you have the right to:
- Access — ask for a copy of the personal information we hold about you.
- Rectification — ask us to correct information that’s wrong or incomplete.
- Erasure — ask us to delete your information, where we don’t need to keep it for legal or contractual reasons.
- Restriction — ask us to pause using your information while a concern is looked into.
- Objection — object to us using your information on the basis of our legitimate interests, and stop direct marketing at any time, no questions asked.
- Portability — ask for information you’ve given us in a common electronic format, or have it sent to another organisation.
- Withdrawing consent — where we rely on your consent, you can withdraw it at any time.
To make a request, contact us using the details at the top of this policy. There’s normally no charge. We may need to confirm your identity first, and we’ll respond within one month — if a request is complex and needs longer, we’ll tell you.
Children
Our website and services are aimed at businesses and adults. We don’t knowingly collect personal information from children under 13.
Other websites
Our website links to other sites, such as Newton News and Aycliffe Radio. We’re not responsible for how they handle personal information, so please check their own privacy policies.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. We’ll acknowledge your complaint within 30 days and deal with it as quickly as we can.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
We’ll update this policy whenever the way we use personal information changes — for example, when we add new features to the website. The date at the top shows when it was last updated.
